Ok we have the insurance sorted (though need to find a first aider). Next thing - the schedules I am creating mine from (and of course breed show schedules) all have a 'vet on call' in case of emergency bit. How do I do this? Do I approach a vet near the trial venue and ask if they are happy to provide emergency cover for a bunch of dogs they've never seen and who come from miles away?

Yes, it is purely that simple..as close to the venue as possible.

The breed club vets we have(different one for Champ & Open show) gets a small donation (£10/£20) wether they have been used or not but that is our choice.

That's a nice idea, but as I'm running this trial alone and not with a club's finances behind me I'm just trying to break even, so we'll have to see.

No you just put a notice up saying who the vet on call is and their address and phone number, also point out that the exhibitor is liable to pay for any treatment or medication.

I also put the details of the nearest A & E and how to get there - you will find the details on the internet if you do not know.

They will probably ask you to put it in writing. One thing I always did was download a map as to how to get to the vets. Should anything happen an owner would probably be in a bit of a flap so it's reassuring to have correct directions.

Also a good idea to put out a PA message to ask if there is a vet or doctor (depending on the need) at the show, there often is and they will advise on the best course of action.

Put what in writing? I'm going to put the 'vet on call' info on the schedule, like the other rally trials and the open shows do if that's what you mean. Good idea re map though. Jackie I do also need a first aider, I've put a request on the schedule for people to let me know if they are one, otherwise I'll have to ask around with my friends back in London. It's not like an open conformation show with hundreds of people there, it's a rally trial with perhaps 60 people or so, so less likely one of them will happen to be a doctor or vet, but hopefully one might be a first aider.

When I used to ring the vet to ask if they would be on call, the receptionists would put it in the diary and than ask for a short letter stating what I had already told them, date, venue, society- sorry if I wasn't clear :)

Ohhh, I see - that makes sense! Sorry, I'm completely new to organising this sort of thing! :-p And I haven't got a society, neither of my clubs round this way are interested in rally, so I'm putting it on virtually singlehanded!! (yes, I'm mad)

Agree one should always follow up an arrangement made on the phone with a letter or at the very least an e-mail for the records of the other party.

The Red Cross or St Johns will send someone but they may charge although if it is not a money making event they may not, nothing lost in asking. Also most firms have a first aider so if you are at work ask who it is and see if they will help for a flask of tea and lunch.
